Definition of an academic advisor
A faculty member is assigned at the beginning of the first semester to a group of 25-30 students. This faculty member is responsible for the student's academic, social, and psychological well-being, guiding them in all aspects of university life. They also help students seize opportunities to refine their academic skills and enhance their academic level and competencies.

- A student guidance booklet is prepared at the beginning of the advising phase, containing the student's personal information and tracking their academic progress through the forms included in the file. Office hours for academic advising are established at the beginning of each semester, aligning with the student's class schedule, and these hours are announced to students through the unit. Remote communication methods are identified for students, such as WhatsApp or Telegram groups, to provide prompt support and answer their urgent inquiries. The semester timetable, class schedules, lecture and practical session locations, and exam schedule are reviewed with students, especially new students, along with the nature of the courses offered in the semester. Students are assisted in determining their course load and registering for courses based on their semester GPA, in accordance with the program's registration rules and the guidelines approved by the college council for registering students with academic difficulties. The registration period and its steps are explained, as well as the procedures for adding, dropping, and withdrawing from courses. The regulations for suspending enrollment and interrupting studies, as outlined in the program's bylaws, are also clarified
Academic follow-up tasks
Monitoring student absences after the periodic announcement of course absences and contacting students at risk of failing to understand the reasons for their absence and working to resolve the issue as much as possible. Monitoring student grades, especially those struggling with coursework and practical exams, using the designated form. Meeting with the student's guardian in cases of repeated academic difficulties, course failure, or referral to legal affairs to discuss the student's problems, preparing meeting minutes, and sending them to the Academic Advising Unit. Recording the student's semester GPA in the graph provided in the advising booklet to facilitate monitoring. Discussing the reasons for a sudden drop in some students' semester GPAs and providing necessary support. Developing a course load plan that allows fourth- and fifth-year students with failed courses to graduate as soon as possible and join their peers.
